The IB MYP coordinator is charged with the responsibility for the management and administration of the
International Baccalaureate Middle Years Program contained within the school. The coordinator will work in
conjunction with the District IB Coordinator as well as with the administration and staff at the school-level to
ensure the program is operated within the guidelines set forth by the International Baccalaureate and
Chicago Public Schools.
Together with the senior management of the school, the coordinator is involved in the implementation of
the program. The coordinator maintains contact with the school leaders, subject departments and
teachers and with the IB. All IB correspondence regarding the program is addressed to the coordinator. As
a position that is funded by the Department of MGIBAP, it is critical to the success of the program that this
position be wholly-dedicated to program implementation. As such, to meet the role’s responsibilities, the IB
Coordinator must be fully released to focus on the requirements of the IB and not be given non-IB related
assignments. It is also crucial to the success of the program that pedagogical leadership systems and
structures are in place to ensure the success of the coordinator and the program.
In this capacity, the IB MYP Coordinator will plan and take the steps necessary to continually improve and
expand the Middle Years Program within the school, thereby enriching the lives of more students in Chicago
Public Schools through the following:
Coordination with the Department of Magnet, Gifted, International Baccalaureate Programs
● Coordinate all aspects of the school’s IB budget, including providing an updated IB Program
Development Plan/Action Plan for the Department of MGIBAP arranging for professional
development; and ensuring that fees are paid to IB in a timely manner.
● Generate a yearly budget plan – assess budget priorities, and monitor all expenditures.
● Attend quarterly CPS IB MYP Coordinator meetings.
● Provide accurate and timely responses to any and all requests for information by the Department of
MGIBAP
Coordination with School Administration
● Ensure the head of school is informed of IB program developments and concerns.
● The school has systems and processes in place to document, share and store curriculum, policies and
procedures that safeguard programme implementation.
● Act as a liaison between the IB Program, the school’s ILT and the Local School Council.
● Ensure that a copy of the Coordinator Notes is given to the Head of School.
Coordination with Faculty
● In conjunction with other IB administrators and educators, develop a school admissions, language,
assessment, academic integrity, and diverse learners policy, as required by IB.
● Ensure that all IB teachers are aware of school policies around Assessment, Academic Honesty,
Language, and Diverse Learners
● Ensure vertical and horizontal IB staff meetings are organized on a regular basis, with agendas stored
as evidence for the evaluation cycle
● Involve the IB faculty in building with the implementation of the IB Middle Years Program when
applicable.
● Develop a timetable for internal school deadlines
● Ensure that the required IB course of study is appropriately constructed and administered.
● Ensure MYP Unit Planner template is used by all staff members.
● Review and provide feedback on MYP Unit Planners to staff members
● Provide on-site professional development.
● Participate in Instructional Core walks and conduct classroom observations
● Coordinate teacher participation at IB workshops, i.e., registration, airfare, hotel accommodations
and Chicago Board of Education release applications.
● Ensure that all IB teachers have access to MyIB
● Ensure that all school information is up-to-date on MyIB
● Ensure that the concept of international mindedness permeates all subjects.
● Keep up-to-date with and inform all staff of developments and new publications.
● Circulate to teachers and students all relevant information received from the IB.
● Provide support to IB teachers in curriculum matters and student affairs.
● Help set up systems for communication with the entire professional staff to ensure cooperation in
implementing the program in the school.
● Supervise student, parent, and community interest and support for the IB Program in the school.
● Arrange for guest speakers and field trips to enhance the academic curriculum
● Manage timeline for IB program evaluation.
Community Project and Personal Project
● Ensure proper supervision and coordination of the Community Project (Grade 8) and/or Personal
Project (Grade 10)
● Register students completing the Personal Project by the October 20th deadline on IBIS
● Inform the supervisor, advisors, and students about requirements, guidelines, assessment criteria, and
due dates.
● Recruit and train suitable advisors, and aid students in finding an advisor.
● Develop and enforce internal school deadlines
● Along with the supervisors, monitor student progress regularly.
● Collect and upload the Personal Projects and forms on IBIS by the May 6th deadline
● Provide School Principal with results of Personal Project from IBIS on August 1st.
● Provide District Coordinator with results of Personal Project as .CSV file from IBIS on August 1st.
Student Recruitment
● Develop and disseminate promotional materials
● Organize outreach activities for the community
Coordination with other IB programs
● When applicable, ensure curriculum articulation occurs between other IB programs in the continuum.

○ Learner Profile development
Coordination with other School Services
● Ensure proper supervision and coordination of an effective guidance program that features
appropriate support structures for IB students
● Provide academic guidance and counseling to IB students
Coordination with Parents
● Ensure parents are aware of school policies around Assessment, Academic Integrity, Language, and
Diverse Learners
● Ensure parent meetings are organized on a regular basis and establish the agenda.
● Inform parents about the Middle Years Programs and its various regulations and procedures.
● Inform parents of the Community Service requirements.
● Ensure parents are kept informed of student progress
● Encourage parent support for achieving and maintaining academic integrity.
● Encourage parent volunteers to assist with activities.
Coordination with Outside Organizations
● Serve as a liaison with offices of the IB, as well as sub-regional organizations.
● Serve as a liaison with offices of district, state, and/or federal educational organizations.
● Serve as a liaison with universities and colleges.
Marketing the IB program
● Contact local news sources regarding IB program events and activities.
● Provide information concerning area resources to instructors.
● Contribute to the promotion of the IB program within and outside the school.
● Ensure regular distribution of an IB school newsletter.
● Ensure that the school’s website information concerning the IB program is current and accurate.
● Ensure that the school's information on IB’s My School is up to date and accurate
● Develop and disseminate promotional materials.
Communications with IB
● Ensure all regulations set by the IB concerning programs and procedures are adhered to properly,
and that all deadlines are met.
● Maintain a file of all communication, agendas, IB publications and resources.
● Communicate with the IB regarding registration concerns, online curriculum access, and procedural
questions.
● Ensure school information updates are communicated to IB.
